Job Description:
Special Education Records SecretaryTerm and Salary:
12 month contractSalary terms as established by the OCEC Executive Board
Qualifications:
High School DiplomaProficiency in using computers, copiers and software suites including, but not limited to Microsoft Office & GooglePrevious office secretarial experience preferred, but not required.
Reports To:
Director, Assistant Director and all other OCEC AdministratorsRoles and
Responsibilities:
Maintain student records in multiple platforms (Embrace Education, iStar, YellowFolder, Power School & Student Information System- ISBE) of all students receiving special education services.
Maintain and complete all activities required in Embrace Education (Students,Staff, 504 Plans and Medicaid DS).
Process special education reimbursement for students enrolled in private facilities, orphanage placements, and summer programs.
Maintain records of procedural timelines for all students enrolled in special education programs.
Send and request student special education records for all students moving into, or out of OCEC member districts.
Send message alerts to staff, families, and district representatives utilizing Bright Arrow messaging.
Prepare and send Occupational Therapy & Physical Therapy scripts and any related documentation.
Prepare and send enrollment information to families for all life skills placements including extended school year.
Prepare and send extended school year applications to staff.
Purging and scanning special education records in compliance with all Local, State and Federal regulations.
High proficiency with filing records (Alphabetical and Date Order)Answer telephones, take messages, and respond to inquiries via telephone or email.
Greet visitors and direct them to appropriate departments, or staff members.
Help organize, set-up and clean-up (refreshments, food) for meetings, conferences as requested by the administration.
Help staff with any other secretarial/clerical task, other than those listed above, as requested by the staff members (Managing and packing classroom supply orders)Extend working hours and schedule, as requested by the Director, and/or Designee, to assist with and complete tasks as needed.
Maintain confidentiality of all information and records within the OCEC.
Demonstrate on a consistent basis professional behavior within the work setting which promotes positive relationships among the staff and with the public.
Perform all other tasks as designated by the Director and/or Designee.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
